Terms of Use

These are the Terms of Use for RenewalHub SA, written in plain language. We may update them as the product evolves (seeChanges below). By using the service you agree to them.

1. The service

RenewalHub SA is a reminder, tracking, and operational workflow tool only. It helps you record renewal and deadline information and receive reminders. It does not provide legal, tax, accounting, compliance, insurance, financial, regulatory, or any other professional advice, and using it does not create any professional or advisory relationship. Categories, labels, templates, examples, dashboards, and reports are informational and administrative aids only — not advice. See our disclaimer for more detail. Where you need advice about a specific obligation, you should consult a suitably qualified professional.

2. Your responsibilities

RenewalHub SA helps you stay organised, but responsibility for your deadlines and obligations stays with you. In particular, you:

  • remain solely responsible for checking and verifying all renewal dates, expiry dates, compliance dates, filing dates, payment dates, licence dates, fine deadlines, and any other deadlines;
  • must independently verify the rules, requirements, and deadlines that apply to you — RenewalHub SA does not determine what applies to your business;
  • are responsible for the accuracy and completeness of the information, dates, reminder settings, recipients, and renewal details you enter;
  • are responsible for reviewing the reminders, reports, dashboards, and other outputs the service produces from your information;
  • remain responsible for completing renewals, making submissions, paying fees, and maintaining licences with the relevant authority, supplier, provider, professional, or institution;
  • must seek professional advice where appropriate, and must not treat the service as a substitute for it;
  • should not rely on RenewalHub SA as your only system for managing critical deadlines, and should keep your own backup process; and
  • are responsible for keeping your login credentials secure.

3. Information you enter

The service works from the information you (or your team or consultant) enter. We do not independently verify, audit, or check the accuracy, completeness, legality, or correctness of that information, and we do not confirm whether your dates or obligations are correct. Reminders, reports, and dashboards reflect what was entered, so incorrect, incomplete, or out-of-date information may result in incorrect or missed reminders, reports, or dashboards.

4. Acceptable use

You agree not to misuse the service, attempt to access data belonging to other businesses, interfere with its security or operation, or use the service for unlawful purposes. You confirm that you are entitled to enter the information you provide.

5. Reminders, templates & reports

  • Email reminders are a convenience only. They are not guaranteed to be delivered, received, opened, read, or acted on, and may be delayed, blocked, filtered, or fail for reasons including email providers, spam filters, incorrect recipient details, outages, DNS issues, third-party services, or your own settings. Do not rely on reminders alone — keep your own diary or backup process for critical dates.
  • Templates and example renewal items are generic, illustrative starting points. They may not fit your business or your legal requirements, are not legally sufficient documents, and you must review, adapt, and confirm each item and date before relying on it.
  • Reports, dashboards, and exports are internal operational summaries of what you entered. They are not professional advice and are not official, legal, tax, accounting, or compliance records, certificates, or filings.

6. Service availability & third-party services

The service is provided on an "as is" and "as available" basis. We aim for reliable service but cannot guarantee uninterrupted or error-free availability. The service relies on third-party providers — including hosting, databases, authentication, email delivery, and payment processing — and access may be affected by maintenance, downtime, internet issues, or those providers. Outages, delays, filtering, delivery failures, or processing issues caused by third parties are outside our control.

7. Payments and subscriptions

Paid plans are billed as described at sign-up or as otherwise agreed. Card payments are processed by our payment provider (Paystack) and are subject to that provider's own terms and availability; we do not store your full card details.

  • Paying for a plan does not guarantee uninterrupted or error-free access to the service.
  • Access may be affected by outages, maintenance, payment failures, failed or declined renewals, security issues, or account restrictions.
  • We may suspend or restrict access for non-payment, misuse, security concerns, suspected unlawful use, breach of these terms, or where required by law. Where reasonable and lawful, we will try to let you know.

8. Cancellations and refunds

  • You can cancel a paid plan from the billing page in your account where self-service cancellation is available, or by emailing hello@renewalhub.co.za.
  • Cancelling stops future renewals so you are not charged again. It does not automatically refund fees already paid for the current period.
  • Fees already paid are generally non-refundable, except where a refund is required by law or where we choose to provide one as a goodwill gesture at our discretion.
  • You are responsible for cancelling before your next renewal date if you do not want to be charged for the next period.
  • When you cancel, your access normally continues until the end of the period you have already paid for — unless access is suspended or restricted for non-payment, misuse, security concerns, suspected unlawful use, breach of these terms, or where required by law.
  • We may correct genuine billing errors (for example, an incorrect amount or a duplicate charge).

Nothing in this section limits any refund or cancellation right you have that cannot lawfully be excluded, including under the South African Consumer Protection Act (see Legal limits below).

9. Consultants and client accounts

If you use RenewalHub SA to manage renewals for clients, you remain responsible for your own client relationships and any advice you give. You confirm you have the authority to add and manage each client's information, you remain responsible for checking client data, client instructions, and client deadlines, and you are responsible for any reminders, recipients, and settings you configure for them. RenewalHub SA is a tool to help you — it does not supervise your work and is not responsible for your advice, omissions, missed reminders, or client outcomes.

10. Platform administration

RenewalHub SA operates a read-only platform-administration area for operational support, troubleshooting, and platform management. This does not mean we monitor any individual customer's deadlines, renewals, or compliance, and the ability to view account information does not create any duty to act, intervene, or notify you about your deadlines.

11. No guarantee of outcomes

We do not guarantee that using RenewalHub SA will prevent penalties, fines, missed deadlines, expired licences, lapsed contracts, lost revenue, business interruption, regulatory consequences, compliance failures, or other losses, or that renewals will be completed successfully. It is a tool to help you stay organised, not a guarantee of any outcome or of business continuity.

12. Your account and security

We take reasonable measures to protect the service (including row-level data isolation between businesses and encryption in transit), but no system or method of transmission or storage is completely secure. You are responsible for keeping your login details confidential, using a strong password, and not sharing accounts. To the extent permitted by law, we are not responsible for unauthorised access or loss caused by your failure to protect your credentials, shared accounts, compromised devices, or third-party breaches outside our reasonable control.

13. Limitation of liability

To the extent permitted by applicable law, RenewalHub SA will not be liable for indirect, consequential, special, incidental, or punitive losses, or for loss of profits, revenue, business, goodwill, opportunity, data, or anticipated savings, business interruption, missed opportunities or deadlines, or penalties or fines, arising from your use of (or inability to use) the service, even if advised of the possibility.

To the extent permitted by applicable law, our total liability for any claim relating to the service is limited to the amount you paid us for the service in the three months before the event giving rise to the claim. If you have not paid any fees for the service, RenewalHub SA does not accept monetary liability except where liability cannot legally be excluded.

14. Indemnity

To the extent permitted by law, you agree to indemnify and hold RenewalHub SA harmless from claims, losses, and reasonable costs arising from your use of the service, the information you enter, deadlines or obligations you miss, your misuse or unlawful use, your breach of these terms, or your or others' reliance on the outputs the service produces from your information.

15. Legal limits

Nothing in these terms is intended to exclude, limit, or avoid any liability or right that cannot lawfully be excluded or limited — including under the South African Consumer Protection Act and other applicable law — and nothing limits liability for gross negligence or fraud where the law does not allow it. If any part of these terms is found to be unenforceable, the rest will continue to apply.

16. Changes

We may update these terms as the product evolves. Continued use after changes constitutes acceptance of the updated terms.
